CRM Sync Troubleshooting

ClaireAI not syncing with your CRM? Follow these steps to diagnose and fix the issue.

Quick Fix Steps

Most CRM sync issues can be resolved in under 5 minutes. Follow these steps in order:

Check Connection Status

Log into your ClaireAI dashboard and go to Settings → Integrations. Your CRM should show a green "Connected" status. If it shows "Disconnected" or "Error", proceed to step 2.

Re-authorize the Connection

Click the "Re-authorize" button next to your CRM. You'll be redirected to your CRM's login page. Sign in and approve the connection request. This refreshes the OAuth token.

Verify Field Mapping

Go to Settings → Field Mapping. Ensure ClaireAI fields (name, phone, email, case type) are mapped to the correct fields in your CRM. Mismatched fields cause data to appear missing.

Test the Sync

Make a test call to your ClaireAI number. Within 2 minutes, a new lead should appear in your CRM. If it doesn't, check your CRM's "Contacts" or "Leads" section.

If the issue persists after these steps, email [email protected] with your firm name, CRM type, and a description of the issue. We'll investigate immediately.

Common Causes of Sync Issues

OAuth Token Expiration

Most CRMs require periodic re-authorization (every 60-90 days). When the token expires, ClaireAI can't push data to your CRM. Re-authorizing (Step 2 above) fixes this instantly.

CRM API Rate Limits

If your firm has high call volume, your CRM may temporarily throttle API requests. This usually resolves within 15 minutes. If you consistently hit rate limits, contact us about Enterprise API access.

Field Mapping Mismatches

If your CRM has custom fields, they need to be mapped correctly. For example, if you renamed "Phone" to "Primary Phone", ClaireAI needs to know where to send the data.

WARNING: Don't see your data? Before assuming sync is broken, check your CRM's search filters. Some CRMs hide new contacts from default views. Try searching by phone number.
